Vendor Terms & Conditions

These terms apply when you apply for and book a vendor table at The Lab Con. By ticking the box on the application form you agree to them, so please read them before you apply.

The short version: applying doesn’t guarantee a table. Your table is confirmed once we’ve allocated it and you’ve paid your invoice. Once paid, tables are non-refundable and non-transferable. If we cancel the event, you get your money back.

1. Who we are

The Lab Con is run by The Lab Conventions Limited, registered in England & Wales (company number 17154627), 6 High Street, Wheathampstead, St Albans, AL4 8AA. Contact us at thelabconvention@gmail.com. In these terms “we” and “us” means The Lab Conventions Limited and “you” means the business applying for a table.

2. Applications and allocation

  1. Sending an application is a request for a table, not a booking. We review every application and may accept or decline any application at our discretion, without giving a reason.
  2. We decide where tables are placed and how many each vendor gets. We’ll try to meet your request but can’t guarantee a particular number of tables, floor, position or neighbour.
  3. Your booking is confirmed only when we have allocated your table(s) and received full payment of your invoice.
  4. You must give accurate details. Invoices are generated automatically from the business name and address you provide.

3. Prices and payment

  1. Table prices are set per floor and shown on your invoice. Prices are quoted excluding VAT; VAT is added at the current rate where it applies.
  2. Your invoice must be paid in full by the due date shown on it.
  3. If your invoice isn’t paid by the due date, we may cancel your allocation and offer the table to someone else.

4. Refunds, cancellations and transfers

  1. Once paid, tables are non-refundable. This includes if you cancel, can’t attend, or don’t turn up on the day.
  2. Tables are non-transferable. You may not sell, give, swap or share your table with another business or person unless we agree in writing first.
  3. If we cancel the event, we’ll refund what you paid us for your table(s) in full.
  4. If we postpone the event, your booking moves to the new date. If you can’t attend the new date and tell us within 14 days of the announcement, we’ll refund what you paid.
  5. We may move the event to another part of the venue, or change its layout or times, where needed. We’ll tell you about any significant change as soon as we can.
  6. Our responsibility to you is limited to refunding the table fee. We’re not responsible for other costs you incur, such as travel, accommodation, stock or lost sales.

5. Your table and the day

  1. A standard table is 6ft. We’ll email set-up and pack-down times and venue arrangements with your confirmation; please follow them and any instructions from our team or the venue on the day.
  2. Your stand must stay within your allocated space and keep walkways and fire exits clear.
  3. You must stay set up for the full public opening hours. Please don’t pack down early unless we agree.
  4. You’re responsible for your own stock, cash, card readers and belongings. Please keep valuables secure — we can’t accept responsibility for loss, theft or damage to vendors’ property.
  5. You must leave your space clean and take away all your stock, packaging and rubbish. You’re responsible for any damage you cause to the venue or its equipment.

6. What you can sell

  1. Everything you sell must be genuine and legal to sell in the UK, and described honestly — including its condition and any grading.
  2. You must not sell counterfeit or unauthorised reproduction products, or proxies or fakes presented as genuine. You must not sell weapons, alcohol or anything age-restricted without our written agreement.
  3. You’re responsible for following consumer law in your own sales, including giving accurate prices and dealing fairly with customers, and for your own tax.
  4. We may ask you to remove any item from sale that we consider unsuitable.

7. Conduct

  1. The Lab Con is an inclusive, family-friendly event. You and anyone working your table must treat attendees, other vendors, our team and venue staff with respect. Harassment, discrimination, aggressive behaviour or unsafe conduct won’t be tolerated.
  2. If you seriously or repeatedly break these terms, we may ask you to leave the event without a refund and may refuse future applications.

8. Insurance and liability

  1. We strongly recommend that you hold your own public liability insurance and insurance for your stock.
  2. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can’t be limited by law.
  3. Otherwise, we’re not liable for any indirect loss, or for loss of profit, sales or business opportunity.
  4. We’re not responsible for delays or failures caused by events outside our reasonable control, such as severe weather, venue closure, transport disruption or government restrictions. If such an event means the show is cancelled, clause 4.3 applies.

9. Promotion and photography

  1. Once you’re confirmed and paid, we may list your business name, logo, Instagram and what you sell on our website, maps, brochure and social media to promote you and the event.
  2. We photograph and film the event. Your stand may appear in our promotional material.
  3. How we handle your personal details is explained in our privacy notice.

10. General

  1. We may update these terms for future events. The version on this page when you apply applies to your booking.
  2. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
